BruinBuy Plus System Issue Update | Sales Tax Impact on QDB and GL

As announced in the April 4 Recap, implementing the new Los Angeles County sales tax rate caused a temporary integration error between QDB and BruinBuy Plus

What's Happening?

The integration issue has been resolved; however, QDB data may still be outdated / missing for invoices whose pay and/or invoice status changed between Tuesday, April 1, and Friday, April 4.* 

This means:

  • Select BruinBuy Plus encumbrance transactions from this time period may be missing from the GL.
  • If an impacted encumbrance transaction has a March effective date, it will not reflect in the March 2025 GL posting period

You can identify impacted invoices via our QDB Sales Tax Invoice Error report.

NOTE: The error report was refreshed today, April 11, and lists all impacted invoices – some invoices may have already been resolved.

* This date range has expanded since our first communication. We will notify you if additional impacts are identified. 

When Will This Be Fixed? 

The BruinBuy Plus team is actively working to resolve these issues, and we are currently tracking towards an April 14 resolution. We will update you as we learn more. 

What Should I Do?

Until this is fully resolved: 

  • Use BruinBuy Plus to access the most current invoice information, not QDB.  
  • Refrain from reconciling encumbrances or submitting encumbrance release requests.

Irregular Invoices | Upcoming Resolution Deadline

Irregular invoices with a hold date of March 17, 2025, through March 31, 2025, must be actioned by departments no later than end of day today, April 11.

If the necessary department action(s) is not taken by this deadline, impacted invoices may be rejected or pushed to payment. Additional information on how unactioned invoices are centrally addressed can be found on the Irregular Invoice Resolution Calendar web page
